We are seeking an organized and detail-oriented Administrative Coordinator to join our team. The primary responsibility of this role will be to support various administrative tasks related to onboarding, project setup and closure, daily operations, offboarding, and diversity certification. The ideal candidate will have excellent organizational and communication skills, a strong attention to detail, and the ability to multitask effectively. This is a part-time position requiring 10-20 hours per week.
Responsibilities:
Onboarding:
- Ensure onboarding processes are followed accurately and efficiently.

Set up new users in required systems such as payroll, time tracking, etc.- Conduct orientation sessions for new hires, providing an overview of MetroSys, our partnerships, and our customers.
- Familiarize new employees with time entry, communication protocols, and benefits.
- Conduct audits to ensure completion of onboarding tasks.
Project Setup and Closure:
- Verify the completeness and accuracy of all required paperwork for project initiation and closure.
- Set up and close projects in the designated systems.
- Prepare and submit invoice requests for completed projects.
Daily Operations:
- Process expenses, ensuring accuracy and adherence to company policies.
- Manage timecards, validate entries, and obtain necessary approvals.
- Coordinate project activities, monitoring budgets and staffing assignments.
- Send invoice requests at project milestones to ensure timely payment.
Offboarding:
- Ensure the offboarding process is followed according to company procedures.
Diversity Certification:
- Stay updated on diversity certification requirements and regulations.
- Track and manage accounts related to diversity programs.
- Update account information as necessary.
- Assist in managing relationships with diversity program suppliers.
Requirements:
- High school diploma or equivalent; relevant certifications or courses are a plus.
- Proven experience in administrative or coordination roles.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in using office software and systems.
- Attention to detail and ability to maintain accuracy in data entry and documentation.
- Ability to work independently and collaboratively in a team environment.
- Familiarity with diversity programs and supplier management is desirable.
